    PTAPTA/FOB MEETING MINUTES

    May 11, 2010

Welcomes by FOB Co-Chairs – Mark and Andrea Andrews

Opening Pledge by PTA President, Jeanna Kienzle

PTA approved minutes from last meeting.

PTA Treasurer’s Report: differs slightly from balance last reported. $3391.78 beginning balance. Deposited coffee sales of $80.09, less bank charge of $3.00, the ending balance is $3468.87.

Expected donations: 5th grade and Martha Foley Scholarship @ $200 each.

Jeanna suggests the idea for PTA to buy staff birthday cards ~ to cost around $50. Approved.

June 3rd ~ student body puts on Staff Lunch in the auditorium. Volunteers needed. Country theme. Some staff in attendance so gifts were not discussed.

Joanna Jeffs discusses that a 2nd grade family is in need ~ a child hospitalized with a busted appendix. Better today but mom could use help with food/groceries. There is a basket in the office to contribute anything: toys, cards, activities for the sick child.

Monday morning coffee needs new parent to help run as Avery has moved. It brings in $75-80 per month. Wen-chia Parker volunteered.

Nadia (via Alicia) has collected all of the lost and found items and will wash and hang them on the baseball fence at assembly in hopes of finding their rightful owners. If not claimed they will be donated. Hangers needed.
Kathy Vigil will take on that task next year.

Alicia discussed that any food sales fundraisers using held after school should not use the cafeteria electrical outlets as it messes up the milk temperature. Advised to use the exterior or auditorium outlets. And that communication with cafeteria manager Lupe is important.

    FOB

2010-2011 Pledge Drive ~ Galia Linn explained how the Beethoven families has improved the school over the years and that the current kinder families would like to keep that going and implement an annual pledge drive similar to neighborhood schools. Revisited the success of the Kinder TA drive and how we can apply those ideas to an annual pledge drive. The drive will ask parents to contribute $365 with the idea being ~ one dollar per day to support your child’s school. A handout was provided with details for the drive and our estimated amounts needed to raise. Key pledge drive plan points discussed:
    *Room Parents send emails.
*Have a display with a teddy bear with an empty belly that we fill as the pledge money is raised.
*Set up a pay pal account ~ try to get the fee reduced since it’s a fundraiser.
    *Set up monthly contribution option.
Andrea mentioned that one of the Spanish families suggested they be asked by the 15th of the month so it doesn’t conflict with rent, etc and asked if the $1 per day included weekends.
Notwithstanding any pledge drive success ~ FOB will continue to hold various events and need chairs for those. Any opposition? None. Any questions?
Staci Lampkin questioned some of the pledge drive commitments ~ Donna Ayers and Galia Linn explained that those items are estimated and could change. Mark Andrews explained that items get cut that could be funded from the different line items.
On track to raise more money than in prior years but we’ll still need more to fund all of the current needs. Per handout ~ total current annual needs total $26,500.
    Additional 2010-2011 needs total $45,500.
Idea is to start the pledge drive now ~ will have it in place by the next PTA/FOB meeting.

LA Conservation Corps Green 4 Green Event ~ Program Director Teague Weybright explained the LACC program and reviewed examples of projects they have brought to Beethoven in prior years as well as neighboring schools. He explained the DWP Trees for Green LA program and the potential for fundraising for the school. The idea is to find the right tree for the right spots so they offer a tree adoption program. He asked that we disseminate the applications to parents ~ for every tree that is adopted locally ~ money will go to the school:
    0-49 trees ~ $0 per tree
    50-100 trees ~ $1 per tree
    101-200 ~ $2 per tree
    201-250 ~ $2.50 per tree
    251+ ~ $3.00 per tree with a $1,500 maximum
Sample flyer was provided. He asked that interest is expressed since they’ve done so much for the school.

Fitness Challenge ~ Joanna Woods explained the program ~ asked for oranges to be donated, for someone to bring a big water cooler and is looking for fresh prize ideas. E Waste Drive is April 24 9-3PM

Nominations for leadership position next year:  2 year terms

    Membership VP and  Secretary

Thank  you to the teachers in attendance.

Update by Principal:  Budget cuts are affecting Beethoven.

The SLRP Program has been closed for next school year.  We are trying to get another pre-school program in place: either State or Head start five days a week.  Special day class has been cut.  It is taught by Tracey Albert.  The School Psychologist has been reduced to a day a week.   By April 1 or by the end of the school year, we are asked to raise $7K for an additional day a week to assess as many children as possible.  Special needs children will be placed back into the regular classrooms affecting all classes.

Pink clips will be distributed on March 15 and we may lose 1-2 teachers.  We will need to reprioritize to buy another teacher. As other staff positions are getting cut as well.  The class sizes for next year are to be:

    3 K classes
    3 1st grade classes
    2 2nd grade classes
    2 3rd grade classes
    2 fourth grade classes
    2 5th grade classes

Discussion included how to prioritize and costs:

PS Arts is on contract so we do not need to fundraise for that program.

    A TA costs $13.5K

CEAC/ELAC funds are specifically designated.    The school cannot ask for supplies but children can come to school with supplies.  See if CEAC/ELAC funds can supplement if there is funding.

    Obligations

    • $7500 psychomotor for one day a week
    • Measuring Up books $8K, reduced to $3K if we recycle them
    • Scholastic News $2K but now Book Fair points will cover those subscriptions
    • $2400 for six buses for field trips for kinder and first grade and a bus for the end of the year
    • $330-400/month for homework lab

    FOB

    Expense report will be posted

Replacing old systems.

    Principal’s Message
Dr. Althea Ford addressed the primary concern of the Kinder parents; classroom size. The kinder classes are oversized and due to district cuts, we needed to consolidate. Changes to address the large K class size have included giving additional part-time teacher aides to each classroom and encourage parent volunteers. Volunteers were reminded that a TB test is needed; forms in the office. The teachers are OK with the class size (28 students as the norm is 24:1) If we lose students, we lose a teacher. Some parents volunteer in the class and Dr. Ford encouraged parents to speak to the teachers to find out the needs in the particular classrooms. Each kinder class has a TA during the 4 hours morning session where there is the core curriculum. The K classes have veteran teachers and experienced aides.

New PTA/FOB 2009-2010 council introduced; attendees welcomed.
    Opening Pledge by Jeanna Kienzle
The June 2009 Minutes were approved; motioned and seconded.

$1.00 goes to 10th District PTA and reminder stays with school
The PTA membership Drive helps subsidize dental, vision and healthcare for students.

Back To School Night SEPT 29 4:30-7:00PM

Help is needed to set-up and clean-up so parents can stop by early to assist.

    Parent Concern Forms
Parents are asked to complete the Parent Concern form available on the counter in the school office. If there is an issue in the classroom, parents are encouraged to speak with the teacher first.

    Grant Writers
We have been successful in the past with grants and have a core group (Trish Halfacre, Patty Segura) who help write and process grants. We are seeking additional grant writers and all grant requests should be coordinated through Trish Halfacre so we are not duplicating efforts. .

    Translators
English/Spanish translators are needed; let office know of interest.

    PTA/FOB Meeting schedule
The PTA/FOB calendar was distributed and parents were asked to mark the meetings on their personal calendars.

    Room Parents
Elizabeth Palser noted that room parents are needed for each classroom, ideally 2 (English/Spanish) and to contact her to sign up and she will solicit a list. She will solicit a list of room parents and ask each class to gather contact information for their class.

    Movie Night
We are needing parents to help with movie night. They choose a move and we project it in the auditorium. Tickets ate $3-4 and entire families gather their pjs and blankets and watch the show. We usually have an early show for the younger kids and later for the older kids. Popcorn and goodies are also sold. This is an easy fundraiser and a great volunteer activity for parents who plan to attend the show anyway.

    Hospitality
We are looking for a rotating group of parents to provide refreshments at the PTA/FOB meetings. Funds are reimbursed bit would like help.

    Wizards
A magic show will be at mark Twain Middle School on OCT 17 and 50% of the proceeds will go to Beethoven! Flyers with details will be distributed to the classrooms.

The next meeting is scheduled for OCT 13 at 8:30AM in the Parent’s Center.

    The meeting adjourned at 8:30PM.
    Respectfully submitted,

PTA/FOB MINUTES, MARCH 10, 2009 Email Article To a Friend View Printable Version

     Dated:  Tuesday, March 24 2009 @ 01:40 PM PDT
PTAOpening Pledge by Robin Shindle, PTA President
Welcome by Trish Halfacre, FOB President

Meeting Minutes February 2009 meeting minutes posted on website; minutes approved and seconded.

Treasurer Report Balance $2736.81 No deposits and no expenses this month. Funds will be needed for the upcoming Teacher Appreciation Luncheon.

    Principal’s Message

    PROPOSED SCHOOL CUTS
Dr. Ford noted that pink slips will be distributed across the District on Friday and there are anticipated IP and Assistant Prinicipal cuts. The Superintendent will review; Board members are getting calls and concerns. There may be up to 200 positions in jeopardy and schools are getting looked at based on performance and size. Cortines has been very action-oriented and responsive to inquiries. There was the sentiment that schools in need get more support.

    BIG GREEN
Progress with the Big Green effort at Beethoven continues. Parents agreed that they will commit to the maintenance and irrigation of all planted materials that are part of Big Green. Parents made a commitment and understand that the District will not cover the cost nor maintain planted materials and that this is the responsibility of the parents.

    KINDER ORIENTATION
The kinder orientation is slated for April 21 and there will be the Open House. Parents were asked to spread the word.

    PLUMBING
The water fountains and sinks at the school are undergoing re-piping; similar situations at other schools. Much of the work has been completed with three classrooms are left without water as project continues. All levels have tested after flushing. Other water is available on campus and parents have donated bottled waters to the classrooms. All classrooms also have hand sanitizers and this effort appears to have had minimal disruption as these efforts continue.

    Kinder Open House
April 21 is the Kinder Open House and kinder parents host this event and coordinate the drinks and breakfast food. Flyers will be distributed to the local pre-schools and this is an important event in recruiting new families to our school for Kindergarten. This will be publicized on the marquee. Next year, Robin Shindle will plan the kinder tours on a monthly basis, twice a month, in addition to the annual kinder round-up.

    Teacher Appreciation Luncheon
The luncheon is scheduled for June 4 with a Mardi Gras theme. Food selection plans include gumbo, shrimp louie, green salad, spinach salad, corn bread, red beans, rice, chocolate fondue, and fruit. We have identified a vendor who will donate. We will need non-alcoholic drink ideas. There was discussion of a teacher gift and the idea of a refrigerator was suggested as one in needed in the teacher’s lounge. Gift has not been confirmed.

    Nominations for FOB President
We are in search of next year’s FOB president. Voting will occur next month so parents are asked to think about nominations. Several co-presidents are also an option so if parents want to collectively serve in this capacity, that is a great opportunity to ease into a future leadership position will serving as a co-leader.

    Mrs. Virgo’s Retirement
We are considering the purchase of a gift card for Mrs. Virgo and asking for suggestions and planning a charitable gift drive or a softball game in her honor. Will solicit donations. Details pending.

    Donations- help with Trucks!
We have a donation of office furniture so we are soliciting help from someone whit a truck who can pickup the furniture and move it to the school. Nadia will organize the pickup.

    School Cents
We are now 19/20 schools in the School cents Program and possibly we will be able to earn $600 that is used for gift purchases of the perfect attendance awards. March 27 is the last meeting at the Westside Pavilion and we would like a volunteer to go to the last meeting. David Hofflich volunteered to attend in Nadia’s absence. May 15 is the last day to register receipts.

    Movie Night
No Update but we are aiming for a night to screen the movie “Bolt”.

    Free Immunizations
Tuesday/Thursday of the upcoming week, from 7:30AM-2:30 PM, Mark Twain Middle School will provide free immunizations to children. See flyer distributed in the classrooms.

    Fitness Challenge
March 20 will be the all day of the Fitness Challenge and we are looking for parent volunteers to help that day. Also seeking donations of bottled water and oranges. The girl scouts will cut the oranges and we need 10 parents per grade level for their time slots. We will invest in a few mist spray bottled and determine prizes for each grade level. Joanna Woods has done a terrific job in coordinating this event. We need to raise $6K to pay for psychomotor instruction. Students will request sponsors for competing in the challenge.

    Governor’s Challenge
Students have been signed up and parents should sign up once so we are in competition to win $100K for a gym. Students have been very diligent about their exercising.

    Car Show
Plans for the April 25 Car show are underway and Mark Sukal is leading this event. 20 cars have signed up so far. Fun, food, music and vendors are in the works.

    Tree Planting
Million Trees LA in association with Beethoven Elementary are sponsoring a community event of planting trees in the local Mar Vista area. Volunteers who help plant a tree will be given a free fruit tree to plant at their home. Volunteers will meet at 9:00AM on the Beethoven campus by the auditorium. Efforts will also support Big Green on campus. All donations will go to improving Beethoven’s big yard.

    Silent Auction/Bingo Night
This fun event for parents is scheduled for May 9. Cassandra Ashley reported that we are still searching for an affordable venue. Costs have been prohibitive with several hotels and halls that we have approached. Still looking for a location but plans are underway.

    After School Classes
After school class enrollment is down.

    Dodger Day
The 5th grade fundraiser is scheduled for April 18 and the game starts at 12:40. Ticket sales are down so trying to drum up sales as this fundraiser supports the 5th grade field trip.

    Pink! Support Our School
Parents were encouraged to support “Stand Up for Our Schools” by wearing pink on Friday to collectively show support of no school cuts.

    Other Fundraisers
We need volunteers to sell snacks after school on Fridays.

    Walmart Recycling
The plastic bag recycling program ends on March 31 so all those who have plastic grocery bags were encouraged to bring them in and they will be taken to Walmart and redeemed for cash.

    Valet Program
Alistair Jeffs has offered to coordinate next years’ morning valet program ensuring that every child gets on campus safely.

    Relay for Life
Beethoven is participating in the Relay for Life Beethoven Bears Team as part of the 24 hours walk on March 16-17 supporting cancer research and honoring those affected by cancer.

    Meeting adjourned at 7:45PM.

    Respectfully submitted,
    Elizabeth R. Palser
